Document renewal is a topic nobody thinks about — until they are at the luggage cart and remember that their passport expires in two weeks. As long as they are there, documents seem permanent. The moment they miss the deadline, they suddenly become an obstacle. This guide covers which documents you need to renew, where, when, and what to bring — without assumptions and without making adjustments along the way.

The Universal Rule — Six Months Before Expiry

Regardless of the document type, the optimal time to initiate a renewal is three to six months before expiry. This window covers waiting for an appointment, potential additions to documentation, and processing time, while still leaving a buffer. For passports, an additional six-month rule applies — the vast majority of countries do not allow entry if the passport expires within six months of the return date. In practice, this means your passport has practically already expired much earlier than the date printed on the cover.

Passport — Where, When, and How

A passport is renewed at the competent authority for issuing travel documents — in most countries, this is a department of the ministry of internal affairs or a specialized agency. The application is almost always submitted in person, as biometric data, fingerprints, and a photograph must be taken on-site.

  • Old passport for inspection and submission
  • Biometric photograph according to visa standards, if not taken on-site
  • ID card as an identification document
  • Certificate of residence, when requested
  • Proof of paid application fee
  • For minors — presence and signed consent of both parents

Processing time varies from a few days to several weeks. An urgent procedure exists in most countries, but it is significantly more expensive and may not be available at all branches.

ID Card — The Foundation of All Other Procedures

An ID card is renewed at the local police department or civil registry office, depending on the country. An expired ID card blocks a range of daily activities — signing contracts, banking services, receiving registered mail. It is recommended to start the renewal at least a month before expiry, especially if you are planning any official procedures.

  • Old ID card for inspection and submission
  • Biometric photograph or on-site photo capture
  • Certificate of residence
  • Birth certificate in certain cases
  • Proof of paid fee

A change of surname, address, or any other data printed on the card requires an immediate issuance of a new ID card, not just a regular renewal.

Driver's License — Renewal Plus Health

A driver's license is renewed at the traffic police or a specialized vehicle agency. In addition to the renewal itself, a valid medical examination is usually required — a medical certificate confirming that you are fit to drive a vehicle. Scheduling an examination can take time, so start the renewal at least two months before expiry.

  • Old driver's license for inspection
  • Medical certificate up to date for the category you drive
  • Biometric photograph according to current standards
  • ID card as an identification document
  • Proof of paid fees — there are usually multiple items

For certain categories, such as professional drivers and heavy vehicles, periodic training or an additional exam is also required.

Visa — Extension Is Not the Same as a New Application

If you are already residing in a foreign country, a visa renewal or extension is done at the foreign nationals' office or immigration service of that country, not at the embassy. The procedure is often different from the one for the initial visa — proof is required that you respected the conditions of your previous stay and that you still meet the requirements for the type of visa you hold.

Overstaying a visa and a subsequent extension are two different things. If your visa has already expired, an extension is often not possible — you must leave the country and submit a new application from abroad.

Invisible Documents — Insurance and Health Certificates

In addition to official identification documents, there is a group of documents that is easily forgotten until needed. Their renewal is not complicated, but it requires the same rhythm of attention.

  • Travel health insurance — lasts as long as the policy, renewed with the insurer, usually online
  • Vaccination certificates — some trips require valid vaccines against yellow fever or other diseases
  • International driving permit — usually valid for one year, issued by the local auto-moto association
  • Electronic travel authorizations for visa-free destinations — last for a few years, but are renewed separately

That Is Exactly Why KeepValidKeepValid Was Created — So Deadlines Don't Depend on Memory

Precisely because of what you might have already noticed while reading this text — documents do not remind you on their own. Every household has several people and a dozen important documents: passports, ID cards, driver's licenses, insurance, health certificates, and each with its own deadline. It is impossible to track everything in your head; it gets lost in the calendar; it becomes outdated on paper. KeepValid was set up precisely for this reason — to keep all your documents and their deadlines in one place, and to remind you in time, not on the day of expiry. Reminders three and six months in advance allow you to start the renewal peacefully, without urgent procedures and without canceled trips. Once you renew a document and enter the new date, the app continues to work for you.

Common Oversights During Renewal

Many applications are rejected due to minor, yet recurring mistakes. Knowing them in advance saves weeks and unnecessary visits to the counters.

  • A photograph that does not meet biometric standards — dimensions, background, or facial expression
  • Forms filled out in pencil instead of pen, or with cross-outs
  • Missing signature on one of the mandatory papers
  • Fee payment made to the wrong account or in an insufficient amount
  • Arriving at the appointment without one of the required documents

An expired document often does not serve as proof of identification, even with an official who otherwise knows who you are. Do not travel or conduct important business with a document that has already expired.
